About the Opportunity

This role supports the Co-CEO & Founders by providing administrative expertise.  Duties include but are not limited to arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence.  This role is also required to maintain confidentiality and professionally interact with team members, management and the public.  Other duties shall be assigned as necessary.

Critical outcomes for this role include:

PERSONAL ADMIN (80%)

  • Is flexible to work weekends and evenings when required
  • Hold brief morning meetings to review the day & go over relevant information, schedules; have materials for review prepped prior to the meeting
  • Calendar management: Manage personal & work schedules, anticipate and address scheduling conflicts
  • Manage complex travel arrangements
  • Manage executive’s personal accounting; expenses, invoices, reporting, payables, and donations
  • Manage inquiries when at the office and working remotely
  • Manage executives’ private residence(s) by manages the work for the residence; renovations or service work, ensures routine maintenance is scheduled and schedules ad hoc work as needed
  • Plans and executes events and is the point of contact on site during events
  • Provide personal support; organizing daily lunches, general office or household tasks

EXECUTIVE SUPPORT (10%)

  • Review all documents, contracts, reports, and correspondence prepared for executive signatures for format and make edits as necessary
  • Capable of taking dictation and minutes
  • Deal with incoming email, faxes and post, often corresponding on behalf of the manager
  • Organize and attend meetings; ensure managers are well prepared for meetings
  • Answer all incoming calls; screening, assisting and referring where applicable
  • Works with & backs up the SVP’s Assistant when needed
  • Ensuring all visitors are welcomed and offered coffee, tea, or water
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons

FACILITIES MANAGEMENT (10%):

  • Manage scheduling of work for business facilities; ensure that routine maintenance is scheduled
  • Ensure the facility operates smoothly on a daily basis
  • Perform equipment & building inspections
  • Work with general handyman on a weekly basis to perform tasks & jobs that fall under a general labour scope; log requests in maintenance book
  • Obtains quotes and places service providers
  • Ensures service providers are paid and that work is complete to satisfaction

Success in this role will require: 

Education

  • Post-secondary diploma preferable or relevant discipline, required.

Experience

  • At least 10 years of related experience in senior administrative / Executive level roles
  • Experience working with highly confidential information
  • Keen attention to detail
  • Proven organizational and time management skills
  • Demonstrated ability in key software applications such as Excel, Power Point, and Word.
  • Excellent communication and customer service skills
  • An individual who is extremely resourceful, adaptable and flexible
  • Ability to learn quickly and take ownership for tasks
  • Ability to maintain confidentiality and deal with issues in a diplomatic, mature and tactful manner
  • Has a valid drivers license and is comfortable driving in all conditions
